We take in the eligible estimates, homeowner context, and outreach rules from your current system.
HVAC estimate follow-up service
Your team quotes the job. We handle the next calls and emails, document every outcome, and bring interested homeowners back to the person who can close.
One focused desk keeps quiet estimates moving while your team keeps today’s jobs running.
The work is already real
After the home visit and kitchen-table conversation, the next busy service day usually wins. We work the estimates your team meant to call back.
Built to run beside your team
No new platform for your team to learn. We work from the estimates you already have, document every outcome, and return the homeowners who are ready to talk.
We take in the eligible estimates, homeowner context, and outreach rules from your current system.
A local representative works the approved call and email sequence in your company’s voice.
Interested homeowners go back to your owner, comfort advisor, or sales lead with clear context.
Your weekly scorecard shows activity, objections, warm responses, and next steps.
One workflow across three trades
HVAC is our primary focus. The same model fits larger plumbing and electrical proposals where the homeowner compares options, financing, timing, and contractors before deciding.
System replacements, major repairs, ductwork, indoor air quality, and comfort upgrades.
Repipes, sewer and drain projects, tankless systems, excavation, and larger remodel scopes.
Panels, service upgrades, generators, EV charging, rewires, and larger residential projects.
The qualification rule: not every trade or ticket needs recovery. Emergency and low-ticket work often closes immediately. We focus on proposals with enough value and decision time to benefit from professional human follow-up.
Best-fit contractor
This works best when you already have real estimate volume and good work, but follow-up is inconsistent.
Fewer than 15 unclosed estimates a month, jobs under $2,500, or no one available to take a warm handoff.

Opportunity math
Contribution means job revenue less direct fulfillment costs. Enter your own economics. This models opportunity value, not a result forecast or guarantee.
Know what recovery is worth
At a $12,000 job and 25% contribution margin, one recovered install contributes $3,000 before overhead. Your own numbers determine what a consistent recovery function is worth.
The useful question: how many additional sales conversations would make a dedicated recovery function valuable to your business? We model that with you during the demo.
Practical customer profiles
These are qualification profiles, not invented customers or promised outcomes. The common pattern is meaningful proposal volume, enough job value to justify human work, and a closer ready to take the conversation back.
A 5–30-person service-and-replacement company with $7,500+ proposals. Comfort advisors stay focused on current appointments, so older quotes receive one or two attempts instead of a complete cadence.
Repipes, sewer projects, tankless systems, excavation, and larger remodel scopes. The office is busy dispatching urgent work while the owner or project lead handles every complex sales question.
Panels, service upgrades, generators, EV charging, and rewires. Follow-up currently sits with the owner or lead electrician, and technical questions can be routed without asking the outreach desk to improvise.
Not a fit: emergency work that closes on the first call, low-ticket repairs, fewer than 15 relevant estimates per month, or a company with no one available to receive a warm handoff.
A focused alternative to another hire
If you need someone to prospect, price work, run appointments, and close full-time, hire a salesperson. If your team already closes but follow-up keeps slipping, add the recovery function.
The right investment when you have enough work for someone to own the full sales cycle every day.
The focused option when your team can close, but recent unsold estimates are not consistently worked.
The people behind the follow-up
Homeowners speak with a person. The process around that conversation is designed to be disciplined, visible, and easy for a contractor to manage.

David brings more than a decade in New York real estate, from licensed salesperson to broker and team lead. He managed three agents, earned a 4.9/5 client rating across 50+ reviews, and later built a rental marketplace serving renters and property partners. Estimate Owner applies that same mix of persistent follow-up, customer judgment, and measurable systems to contractor estimates.

A Long Island-based sales representative with practical experience in outbound calling and service businesses. Eli leads outreach with persistence, professionalism, and a focus on clear homeowner conversations.
Simple systems support notes and reporting behind the scenes. We do not impersonate your staff, invent offers, or pressure people who opt out.
Questions owners ask
Yes. We introduce ourselves as calling on behalf of your company and use only contact data and messaging you have authorized.
We define it together before launch. At minimum: the decision-maker agrees to a specific time, still has a relevant project, and actually attends the conversation.
Not unless you explicitly train and authorize us to do so. The default job is to understand what stalled, reopen interest, and get the right person back to your closer.
Hire one when you need full-cycle selling every day. Estimate Owner is narrower: we consistently work recent unsold estimates and return interested homeowners to the person who already knows how to close your jobs.
HVAC is our primary focus, but the qualification is really about the estimate, not the trade. We also support high-ticket residential plumbing and electrical proposals such as repipes, sewer work, tankless systems, panels, generators, EV charging, and rewires. Routine emergency and low-ticket work is usually not a fit.
Once the eligible estimate list, outreach boundaries, and handoff owner are approved, the first sequence can begin without recruiting or onboarding another employee.
The work, not homeowner behavior. Every eligible estimate receives the agreed outreach sequence and a documented disposition. If we do not complete that sequence within 30 days, we continue at no charge until we do. Revenue cannot be guaranteed because list quality, pricing, market, and your closing process affect outcomes.
